Common questions
Short answers to what people ask most, before and after they start using Tumra.
Getting started
What do I need to set up first?
A new workspace opens Workspace Setup, which walks you through business type, currency, chart of accounts, tax, opening balances and document numbering. Only the Chart of Accounts step is required, because invoices and expenses can’t be created without it. Everything else can be skipped and revisited any time from Settings → Workspace Setup.
Can I move my data over from another app?
Yes, using Excel files in Settings → Import & Migration, which only Owners and Admins can open. There are templates for your configuration, clients and vendors, products and opening stock, old invoices (imported as drafts), expenses and manual journals; opening balances are typed straight into their own page. Every file is checked in a preview first, then saved in full or not at all.
How do I invite my team?
An Owner or Admin opens Settings → Team & Users, clicks Add User, enters a name and email and picks a role. Tumra emails an invitation that stays valid for 7 days, or you can set the password yourself without sending one. Team management comes with the Agency, Retail and Bisnis plans and their Pro versions, and each active member uses one seat.
Can I move straight from Jurnal, Accurate, or another app?
There is no direct import from other apps yet. Export your data from the old app to Excel, copy the columns into the Tumra template, then upload it. Tumra only reads .xlsx files with the same sheets and columns as its template, not CSV files or another app’s export files as they are.
Does everyone on the team see the same dashboard?
No. Owners, Admins, and Project Managers see the team’s hours, tasks waiting for review, and the whole team’s overdue tasks. Staff see their own tasks and hours. The Finance tab and invoice figures only appear for roles with finance access.
What does the Finance tab show on the Free plan?
Real figures from your books for the current year: cash & bank, receivables and what’s overdue, revenue, expenses, net profit, monthly cash flow and payments by client. Choosing another year and the full reports behind those figures start on the Freelancer plan.
What if my import is wrong?
Product, expense, and journal imports can be undone from the import history: the journals are reversed on their original dates, and nothing is deleted. Imported invoices are still drafts, so they can be checked before they are issued. Clients and vendors that have come in are not undone through the import.
Are payments on old invoices imported too?
No. A payment creates a journal straight away, so it is recorded as usual after the invoice is issued. Invoices issued before the opening balance date aren’t imported, because whatever is unpaid on them is already part of the receivables in the opening balance.
What can I search for?
Clients, contacts, projects, tasks, invoices, expenses, vendors, and app pages. On shop plans and Bisnis, also products (name, SKU, or barcode), stock locations, POs, and goods receipts, plus quotations, sales orders, and deliveries from the Retail plan. Results follow your access rights, and each group has “See all”.
How big can import and export files be?
One import file can be up to 10 MB. Clients and vendors up to 5,000 rows per sheet, products up to 2,000 per file. One export file holds up to 20,000 rows, and a full copy can be made 3 times every 15 minutes.
Is the Help Centre available in English?
Not yet. The Help Centre interface follows your language, but the articles themselves are in Indonesian.
Can a ZIP copy be restored into Tumra?
No. The full copy is for reading, keeping, or moving to another app, not a backup. Its contents can’t be uploaded again to restore a workspace.
Does Tumra send due date reminders?
Not yet. Tasks, invoices, and follow-ups that fall due appear on the dashboard and in Agenda when you open Tumra, but they aren’t sent by email or as phone notifications. Emails are only sent for certain things, such as when you’re @mentioned in a comment.
Can I still export my data if my subscription stops?
Yes. The workspace isn’t deleted. An unpaid plan drops to a free plan, Free or Retail Free, where the Owner and Admins can still open Export Data and download a copy.
How do I know about new features?
The three latest announcements appear on the dashboard, and all of them are on the Updates & News page: releases, scheduled maintenance, and tips from the Tumra team.
About Tumra
Is Tumra accounting software?
Yes. Invoices, payments and expenses are booked as double-entry journals automatically and roll up into the Profit & Loss, Balance Sheet, Cash Flow, Trial Balance and General Ledger. The difference is that Tumra also runs the work behind them, such as projects, time, stock and the counter, and it does not produce tax invoices, tax returns or billing codes for the Indonesian tax office.
Is Tumra a good fit for my business?
Tumra is built for service businesses (agencies, studios, consultants, freelancers), for businesses that sell goods, and for those that do both. The plans follow that split: Freelancer and Agency for services, Retail for stock, purchasing and the counter, and Bisnis for services and goods together. There are two free plans to start with: Free for services (3 clients, 15 projects) and Retail Free for shops (100 products, 500 sales a month).
Can I still work with my accountant?
Yes. On a plan with team management, add your accountant in Settings → Team & Users with the Finance role, which covers invoices, payments, expenses, journals and reports. Reports such as Profit & Loss, Balance Sheet, Journals and the Tax page can also be exported to Excel for your accountant or tax consultant.
Do I have to use the AI features?
No. Everything in Tumra works without AI, and the Free, Retail Free and Freelancer plans don’t include the built-in assistant at all. On plans that do, you can switch it off with Assistant on in Settings → Tumra Assistant (AI).
Is my data safe?
Each workspace’s data is kept separate, and roles decide who can see finances and who only sees the projects assigned to them. Passwords are stored as hashes rather than plain text, and any API keys you save are encrypted. Posted bookkeeping can’t be quietly deleted: corrections are always made as new journal entries that stay visible.
Account & billing
How does the 30-day trial work?
Pick a plan when you sign up and start working right away. Paid plans begin with a 30-day trial with no credit card. The first bill is issued at sign-up and is due on the last day of the trial; you can pay it any time during the trial. During the trial, AI credits are limited to 50 per month, and the plan’s full allowance applies once the first bill is paid.
How do I pay?
From the Subscription page in the app, through Midtrans: bank transfer (virtual account), QRIS, e-wallet or card. The bill’s status updates automatically once Midtrans confirms the payment. Tumra never takes money from your card or account automatically.
What happens if a payment is late?
You keep full access during a grace period: 3 days after a trial ends, or 14 days for the renewal of a plan that has been paid before. If the bill is still unpaid after that, the workspace moves to the matching free plan: service plans to Free, shop plans to Retail Free, and Bisnis to Retail Free if the shop has sold in the last 90 days, otherwise to Free. The till keeps working, no data is deleted, and your plan comes back as soon as the bill is paid.
What if I stop my subscription?
The Owner clicks Stop at the end of the period in Settings → Plan & Billing. Everything keeps working until the end of the period you’ve paid for, then the workspace moves to a free plan: Free for a services business, Retail Free for a shop. No data is deleted.
Is yearly billing cheaper?
Yes. Yearly plans are billed as 10 months for 12, so you save 2 months on every paid plan. Extra seats are still charged at their monthly price times 12.
How do I change my plan?
The Owner opens Settings → Plan & Billing and picks a new plan. Moving to a paid plan issues a bill, and the new plan starts once it’s paid; until then your current plan stays in place. If you’re using more than the target plan allows (seats, clients, projects or products), Tumra tells you exactly what to reduce first.
What happens to the data when a team member leaves?
Choose Remove from team in Settings → Team & Users: they can no longer sign in and their seat frees up, but their hours, invoices and history stay on record under their name. Their unfinished tasks, contacts and follow-ups can be passed to someone else with Hand over to. The account can also be reactivated later if a seat is free.
How is Retail Free different from Retail Starter?New
Retail Free is free for one user at one till, with 100 products and 500 sales a month. It already includes the register, stock, purchasing, store credit and automatic bookkeeping. Retail Starter (Rp 179,000/month) has no product or sales cap and adds full financial and tax reports, Shop Reports for any period with export, emailing invoices, 2 users with room for up to 3, the AI assistant with your own API key, and receipts and PDFs without Tumra branding.
What happens if I go past 500 sales in a month?New
The till keeps working and no sale is held back. Every sale in the calendar month counts, from the till or a regular invoice, except drafts and cancelled ones. From 400 sales a reminder shows on the till and the dashboard. If last month went past 500, opening a new shift the following month asks you to upgrade first. A shift already open is never cut off, and regular invoices can still be created.
Do I lose data if I drop to a free plan?New
No. All your data stays intact: products, stock, customers and the journal. If you have more than 100 active products when a paid plan ends, all of them can still be sold; only new products can’t be added until you’re back to 100 or upgrade. Switching to Retail Free yourself needs 100 active products or fewer, and Tumra tells you how many to deactivate.
Clients & contacts
Why does a contact’s stage change on its own?
A contact’s stage is read from your records: Prospect while a quotation to them is open, Client once their client has been billed, and Lead otherwise. Only Dormant and Lost are set by hand, and the system never overrides those.
Can one contact be linked to several clients?
Yes. A contact can be linked to several clients at once, so the same person never has to be entered twice.
Do clients need to pay or use a seat?
No. Clients sign in with a portal account that’s separate from your team accounts, so they don’t use a seat and aren’t charged. The portal is included on the Agency and Bisnis plans.
What is the difference between clients and contacts?
Clients are the companies or individuals you bill. Contacts are the people you talk to. One client can have multiple contacts, and one contact can link to multiple clients.
How are contact lifecycle stages determined?
Contacts whose clients receive invoices automatically become Clients. On Retail and Business plans, contacts with active quotes become Prospects. Others remain Leads. Inactive and Lost stages are chosen manually.
What can clients never see?
“Team only” comments, non-billable tasks, hidden projects or tasks, draft invoices, budgets, costs, expenses, and the books. What they do see: team members’ names on time logs, and the unit prices on the lines of issued invoices.
Can clients pay invoices through the portal?
Not yet. Clients can view, print, or save invoices as PDF, with the status Paid or Unpaid. Payments are still recorded by your team. The balance left after a part payment isn’t shown in the portal yet.
Can my whole team see all clients?
Owners, admins, project managers, and finance roles see all clients. Staff only see clients shared with them. Financial figures such as receivables and revenue are restricted to finance roles.
Does Tumra sync with my email inbox automatically?
Not yet. Tumra does not read inboxes or calendar accounts. Interactions are logged manually, and follow-up reminders appear inside the app, not via email.
What if a client forgets their password?
There’s no “forgot password” button in the portal yet. An owner or admin can use “Resend sign-in link” or “Reset Password” on the contact page. Once signed in, clients can change their own password in the portal’s Settings.
Can I import my client list from spreadsheets?
Yes. Owners or admins can download Excel templates in Settings → Import & Migration, fill them in, and upload. Existing client names are skipped. All client data can also be exported to Excel anytime.
Can the portal use my own logo or domain?
A logo, yes; a domain, not yet. The portal shows your business name and logo on Agency and Bisnis and their Pro versions. The address stays Tumra’s (`app.tumra.id/portal`), and custom colours can’t be set yet. The print version of an invoice in the portal uses the same invoice document you print from the app.
Is CRM available on the Free plan?
Yes. Clients, contacts, interaction history, and follow-ups are included, up to 3 active clients. Paid plans have unlimited clients.
Is the team notified when a client comments?
Not yet. There are no email or in-app notifications for client comments yet. The comment appears on the project or task it belongs to, tagged “Client”, and can be replied to from there.
Projects & tasks
How do I change the columns on the Kanban board?New
Go to Settings → Kanban Columns. You can rename and recolour columns, drag them into a new order, add new ones, and delete a column once its tasks have been moved. One column is always where new tasks land and one marks tasks as done, and the columns apply to every project’s board.
What’s the difference between a milestone and a task?
A task is a single piece of work with an assignee, an hour estimate, a deadline and a Kanban column, and time is always logged against a task. A milestone groups several tasks within a project and has its own deadline, status and an optional fee you can bill. You add milestones from Milestones & Collaboration on the project page.
Where do I keep a project’s Figma or Google Drive links?
In the Assets tab on the project page. Create a group, such as Design or Client documents, then paste the link and its label fills itself in.
Are all hours automatically billed?
No. Only billable sessions on tasks billed by time log under Hourly projects are eligible. Hours on Fixed Price, Retainer, or Non-billable projects are tracked for workload analysis but are never pulled into invoices. You choose which hours to import.
Does Agenda send reminders?
Not yet. Agenda doesn’t send emails or notifications. Anything coming up or overdue is visible when you open Agenda or the dashboard.
Can Agenda connect to Google Calendar?
Not yet. Agenda can’t be synced, subscribed to as iCal, or exported. Its contents can only be viewed inside Tumra.
Is there a limit on the number of projects?
The Free plan includes up to 15 active projects and 3 clients. Archived projects do not count toward the limit. Freelancer, Agency, and Business plans have unlimited projects.
Which hourly rate is used?
The project hourly rate if specified, otherwise the client default rate. If both are blank, hours can still be pulled in and you enter the rate on the invoice. Rates apply per project or client, not per team member.
Can files be uploaded directly to projects?
Not yet. Project and task assets are links (such as to Figma or Google Drive) grouped into categories. Comments can also include asset links.
Can I add my own meetings or events?
Not yet. Agenda has no events of its own; everything is read from other data. To schedule something, create a task with a deadline, or schedule a follow-up on a contact’s page.
Can multiple timers run simultaneously?
No. Each team member has one active timer. Stop or pause the current timer before starting work on another task. Accidental timers can be discarded with one click.
Can clients see the Agenda?
On the Agency and Bisnis plans, contacts with portal access see their own version of Agenda: deadlines for the projects, milestones, tasks, and invoices they’re allowed to see. Follow-ups, payments, and shop data aren’t included.
Can Gantt charts be dragged with dependencies?
Not yet. The Gantt chart provides a timeline view across 1, 3, or 6 months. Dates are adjusted from task or milestone edit modals. Task dependencies and recurring projects are planned for upcoming updates.
Is there a desktop app, idle detection, or reminder?
Not yet. Timers run in the browser and sync to your account. Desktop/mobile apps, idle prompts, screenshots, and left-on reminders are not included. Overlong sessions can be edited in Time Logs.
Can all team members see every project and its budget?
Owners, admins, project managers, and finance roles see all projects. Staff members only see projects open to all staff or assigned directly to them. Fees, rates, and project values are restricted to finance roles.
Do timesheets require an approval workflow?
Timesheet approvals are not part of Tumra. Staff members log and edit their own hours, while owners, admins, and managers can edit any session. Task reviews (approve or send back) handle deliverable review.
Why can’t my staff see invoices in Agenda?
Due dates, money in, and supplier bills only appear for owners, admins, and finance, and for project managers given finance access. Staff see deadlines on projects shared with them.
Can clients see project progress?
Yes, on Agency and Business plans. Contacts invited to the client portal can see their projects, tasks, and schedules on Gantt charts. Internal-only notes and hidden tasks remain private to your team.
Is Agenda on the Free plan?
Yes. Agenda is on every plan. What it shows follows your type of business: service businesses see projects and tasks, shops see the counter, suppliers, and expiry, and the Bisnis plan sees both.
Is time tracking included in Retail plans?
No. Retail Starter and Retail plans do not include time tracking. It is available in Free, Freelancer, Agency, and Business plans.
Invoices & payments
How do I add VAT (PPN) to an invoice?
First create the tax type in Settings → Tax, for example PPN 11% as an output tax. Then choose it under Tax Type in the Discount, tax & payment section of the invoice, and tick Prices include tax if the prices you typed already contain VAT. A business registered as PKP can make tax-inclusive prices the default on that same Tax page.
Where do foreign exchange rates come from?
Rates are stored per currency in Settings → Currencies and can be filled from the European Central Bank (ECB) reference rates, updated automatically every day, or typed in by hand. On an invoice the rate is filled from there, Fetch Rate pulls the latest ECB reference rate, and you can always overwrite the number. ECB rates are market references, not the Indonesian Ministry of Finance tax rate or Bank Indonesia’s middle rate, so enter those manually if you’re required to use them.
Can I change the invoice number format?
Yes, in Settings → Document Numbering. You choose the number style, a prefix, when the count restarts at 1 (monthly, yearly or never) and the next number so the sequence carries on from your old system, and the advanced settings let you write your own pattern or add extra series. Changes only apply to new documents; numbers already issued stay as they are.
How do I change the invoice email?
Open Settings → Invoice Email Template. You can edit both the subject and the body using tags such as client name, invoice number, amount and due date, with separate versions for clients who get Indonesian and English invoices. The subject must include the invoice number, and payment details are added automatically from the invoice’s payment methods.
Can one transfer pay several invoices?
Partly. Bulk settlement settles up to 100 invoices at once, each for its remaining amount, and records one payment for each invoice. A single combined payment, deposits, and overpayment balances are not available yet. A payment also can’t be more than what is left on the invoice.
Can the Free plan create invoices?
Yes. Invoices, payments, Credit Notes, and recurring invoices are included, with a limit of 3 active clients. On the Free plan you send invoices yourself and then mark them as sent, and the Tumra logo always appears in the invoice footer. Email sending and the Receivables Ageing report start on the Freelancer plan.
Which currencies are supported?
Indonesian rupiah (IDR), US dollar (USD), Australian dollar (AUD), Singapore dollar (SGD), and euro (EUR). One of them is the base currency of your books, and the others can be used to bill clients.
Are invoices sent as a PDF attachment?
Not yet. Emails from Tumra are plain text: your template, the amount, the due date, and your payment details. If the client has portal access (Agency and Bisnis plans), the email includes the link. Need a PDF? Open Print, save it as PDF, send it yourself, then press Mark as Sent.
What if the client withholds PPh 23?
Tick Client withheld PPh 23 when you record the payment, then enter the amount withheld. The invoice is recorded as paid in full, the money in the bank matches the statement, and the withheld part is recorded as prepaid income tax. The withholding slip number can follow later, and payments still missing one can be filtered on the Payments Received page.
Where do the rates come from?
You can type them yourself, such as the BI middle rate or the tax rate, or fetch the ECB reference rate published every working day. The ECB rate is a market rate, not the Ministry of Finance tax rate or the BI middle rate. The rate an invoice uses is kept on that invoice.
Are recurring expenses recorded automatically?
Not straight away, and that’s on purpose. Each period appears under Waiting for confirmation. You check the amount, change it if this month’s bill is different, then press Confirm & record. Only then is the journal created, so a wrong number never slips into the books unnoticed.
Can I have a bank account in dollars?
Not yet. All cash and bank accounts are recorded in the base currency. When a client pays a foreign currency invoice, you record the rupiah that actually landed in your account, and the difference from the invoice rate becomes an exchange gain or loss.
How many invoices can I send by email?
Up to 3 invoice emails a day per workspace, and each invoice can be emailed once. Beyond that, send it yourself and mark it as sent. Mark as Sent is available on every plan with no limit.
Can clients pay online straight from the invoice?
Not yet. Tumra doesn’t process payments from your clients. The invoice lists the payment methods you set up, such as a bank account, QRIS, or your own payment link. Once the money arrives, you record the payment in Tumra.
Can expenses and purchases be in a foreign currency?
Not yet. Expenses, vendor bills, goods purchases, and POS sales are recorded in the base currency. Enter the amount actually debited from your account. Because of this, revaluation applies only to receivables, not to payables.
Can expenses be recorded in a foreign currency?
Not yet. Expenses and vendor bills are recorded in your base currency. Foreign currencies (USD, AUD, SGD, EUR) are only available for invoices and client payments for now.
Are there automatic payment reminders to clients?
Not yet. Tumra doesn’t send reminders to clients. Overdue invoices appear in the Overdue tab, in Agenda, and in the Receivables Ageing report (paid plans), so you know who to contact.
Can a client’s currency be changed?
Yes, as long as the client has no invoices yet. After the first invoice, the currency is locked. A client who needs billing in another currency is set up as a separate client record.
What if an expense was recorded wrongly?
Use Correct: the old journal is reversed and a new one is recorded, so the history stays. Payments to vendors can be cancelled from Payment history. Voiding or deleting an expense that has been recorded can’t be done from the screen yet.
Can I use it on the Free plan?
Yes. Payments, expenses, vendors, attachments, recurring expenses, and PPh 23 are on every plan. The Receivables Ageing and Payables Ageing reports start on the Freelancer plan.
What if an issued invoice turns out to be wrong?
Drafts can be changed freely. An issued invoice is reduced with a Credit Note, or cancelled if no payment has been recorded. Both reverse the journal, so the original invoice and its correction both stay on record.
What if several foreign currency invoices are paid at once?
Settling several invoices at once uses each invoice’s own rate, so no exchange difference is booked. If the rupiah received is different, record each invoice’s payment one at a time with the regular payment form.
Accounting
Can I close the books each month?
Yes, in Settings → Accounting Periods with Close the books, once its checklist passes. After that no journal can land in the period, and the lock is enforced in the database so no screen can get around it. If something needs fixing, reopen it with a reason that is kept in the history, then close it again.
Why does every journal have to balance?
Every transaction moves money from one place to another, so debits and credits must match, and any gap means something wasn’t recorded. In Tumra the database enforces this, so an unbalanced journal is always rejected, whether it comes from a screen, an import or anywhere else. You don’t have to build journals yourself: the invoice, payment and expense forms do it for you.
My business is already running. How do I start the books?
Fill in the Opening Balance step in Workspace Setup: the date your books start, your cash and bank balance, what clients owe you and what you owe vendors. You don’t have to guess owner’s equity; Tumra works it out from cash plus receivables minus payables and posts it as one journal. If a figure is wrong, use Cancel & Re-enter and fill it in again.
Are reports updated automatically?
Yes. Reports are read straight from posted journals, so new transactions show up right away. Draft invoices and recurring expenses not yet confirmed aren’t included yet, and Tumra lists them under “Worth checking” so profit doesn’t look higher than it really is.
Do I need to know accounting?
Not necessarily. Journals are recorded on their own from invoices, payments, expenses, and sales. Manual journals start from an example and are explained in plain language. The in-app Help Centre also has a Learn Accounting category.
Are reports included on the Free plan?
Financial reports aren’t. On Free and Retail Free, invoices, payments, expenses and till sales are still recorded in the journal. Their figures show on the dashboard: the Finance tab on Free, the shop dashboard on Retail Free. Retail Free can also open Shop Reports up to last month. Profit & loss, balance sheet, cash flow and the other accounting reports start on Freelancer or Retail Starter, and once you change plans they include your earlier data straight away.
What happens on the Free plan?
Journals are still recorded automatically from the first transaction, and the chart of accounts can be set up. The Journals, Bank Reconciliation, Fixed Assets, and FX Revaluation pages and the financial reports open once you move to a paid plan. Journals already recorded show up straight away, with no re-entry.
Can bank statements be imported, or the bank connected?
Not yet. Tumra doesn’t connect to banks and can’t import statement files yet. You reconcile by entering the balance per the bank, then ticking the transactions that match. The draft can be saved and picked up again any time.
Can my accountant use these reports?
Yes. Every report can be exported to Excel. On every paid plan, you can also invite your accountant as a team member with the Finance role, so they can open reports and journals directly in Tumra.
How do I fix a wrong journal?
Saved journals aren’t changed or deleted. A manual journal is fixed with Reverse Journal, which creates a reversing journal on the same date. Journals from invoices, payments, or expenses are corrected through their document: Tumra reverses the old journal, then records the new one.
What about invoices in dollars?
All reports are prepared in your business’s base currency. Foreign currency invoices and payments are recorded at the rate on the transaction date, and exchange differences go to their own account, so last month’s numbers don’t change when the rate moves.
Is there a profit-by-project report or budgeting?
Not yet. Tumra doesn’t have profit-by-project reports, budgets, or cost centres yet. Yearly mode always uses the calendar year, January to December. Printed and PDF reports are always in Indonesian.
Who can see and record journals?
The owner, admins, and finance staff. Project managers can be given finance access one person at a time. Only the owner or an admin can reopen a closed month, and the reason is kept in the history.
How much data can be exported?
One Excel file holds up to 20,000 rows, and each person can export up to 10 times a minute. The General Ledger shows 200 transactions per page, while its opening and closing balances are still calculated from every transaction in the range.
What isn’t available yet?
Recurring journals, your own journal number series, budgets, cost centres, and books for several businesses in one account aren’t available yet. Depreciation uses the straight-line method only.
Tax
Does Tumra calculate the tax I have to pay?
No. Tumra records tax according to the tax type you choose on each transaction, then totals it by tax period. The VAT difference on the Tax page is a figure by the books, not the amount owed. The conclusion stays with you and your tax consultant.
Does Tumra create e-Faktur or file tax returns (SPT)?
Not yet. Tumra doesn’t issue tax invoices or withholding slips, has no export for Coretax, and doesn’t file SPT returns. Withholding slip numbers and the NTPN of each payment can be recorded in Tumra, and the period summary can be exported to Excel for your consultant.
My business isn’t VAT-registered (PKP) yet. Can I still use it?
Yes. As long as no tax type is set up, VAT doesn’t appear on invoices, and the Tax page says there’s nothing to report. You can still add just PPh 23, for example if clients withhold it from what they pay you.
My prices already include VAT. How do I record that?
Turn on “Selling prices include tax” in the tax profile. Tumra separates the VAT from that price: 111,000 = tax base 100,000 + VAT 11,000. This becomes the default for new invoices, quotations, orders, and POS sales, and can still be changed per document.
Can one invoice use two tax rates?
Not yet. Each invoice, expense, and purchase order uses one tax type for all its lines. If you sell taxable and non-taxable goods together, split them into two invoices.
Can the Free plan record tax?
Yes. The tax profile, tax types, VAT on invoices and expenses, and PPh 23 withholding are on every plan. The Tax page, with the summary by period, remittance records, and Excel export, starts on the Freelancer plan.
Products & stock
Can I import products and opening stock from Excel?
Yes. Download the template from Settings → Import & Migration → Products & opening stock, fill in one row per product (name, SKU, category, unit, selling price, cost and opening stock), then upload it to review a preview before saving. New categories and units are created for you, variants aren’t supported yet, and a wrong import can be reversed with Undo this import as long as none of its products have been used.
How does a stock count work?
Open Stock, go to the Stock counts tab, click Start a count and choose the location and the items to count. While the count is open those items can’t be sold, received or moved at that location, so the difference stays accurate. When you click Post count, each difference becomes a stock adjustment booked at average cost.
Which costing method is used?
Weighted average, one figure per variant across all locations. For example: 12 bottles of iced coffee cost IDR 7,000 each, then 12 more arrive at IDR 7,500. The cost becomes IDR 7,250, and selling 2 bottles records COGS of IDR 14,500. The method is fixed and can’t be switched to FIFO.
Can stock go negative?
Not by default: a sale is refused if there isn’t enough stock, and the till stops at the quantity on the shelf. If you turn on Allow negative stock in Stock rules, the sale goes through, and items below zero are flagged so they can be corrected.
Can I sell by the kilogram or by weight on a scale?
Partly. Units such as kg can be used in the catalogue, goods receipts, and adjustments. At the till, quantities are still whole numbers, and billing by the actual weight on a scale isn’t available yet.
Who can see stock?
The owner, admins, and finance, because stock is money on the Balance Sheet. Project managers can see it if they’re given finance access. The Cashier role only sees stock quantities at the selling location on the till screen, without buy prices or values.
Can a product have several photos?
Not yet. Each product has one photo, up to 5 MB, which also shows at the till. Photos per variant and photo galleries aren’t available yet.
Counter & sales
Can the cashier give credit to anyone?
No. Credit has to be in a customer’s name, not the walk-in customer’s. It’s refused if the customer’s group doesn’t allow credit, or if their total owed would go over the limit. A customer’s own limit takes precedence over their group’s.
Can the till be used offline?
Not yet. The till runs in the browser and needs an internet connection when you press Pay. If the connection drops mid-sale, pressing Pay again carries on with the same sale, so the goods and the money aren’t recorded twice.
Does a sales order reserve stock?
No. Stock only leaves when the delivery is recorded, so the goods can still be sold at the till until they’re delivered. The order form shows the stock at the source location and the quantity already promised to other orders, so you know before you promise a customer.
Can I create a PO from items running low?
Yes. The From Low Stock button fills a PO with items whose stock is below their reorder point. Nothing is ordered automatically: you still check the supplier, quantities, prices, and location before saving.
How is credit paid off?
By recording a payment on its invoice, which can be partial. Several credit sales can be paid off together with bulk settlement. Settlements are recorded by the owner, an admin, or finance. Cashiers can’t record a settlement from the till screen.
What devices and printers do I need?
A computer, laptop, or tablet with a browser. A barcode scanner that types the code and then Enter works straight away. Receipts print through the browser’s print dialog to a 58 mm or 80 mm thermal printer. Camera scanning and cash drawers that open automatically aren’t supported yet.
Can cashiers add new customers?
Yes, straight from the till screen, with just a name and phone number. The group and other details are filled in later on the customer’s page by the owner or finance.
Is QRIS connected directly to the bank?
Not yet. QRIS, card, and transfer are payment methods you create yourself and map to a bank account. The till records the method and the amount, but it doesn’t generate a QR code or check bank statements. Non-cash payments aren’t counted as cash in the drawer.
What if a wholesale customer returns goods?
Issue a credit note on their invoice. The goods go back to the location they were delivered from, in proportion to the amount credited. Returning only specific items isn’t available yet, because a credit note is recorded as an amount, not per item.
Are there customer or supplier down payments?
Not yet. Customer down payments, down payments to suppliers, and overpayment balances aren’t available yet. Customer payments are recorded on the invoice, and supplier payments on the goods receipt.
Are there member points or special prices per customer?
Not yet. A “member” in Tumra is a group with its own discount and credit rules, without points or member cards. Prices follow the group: the shelf or wholesale price, plus the group’s discount percentage. For different terms, create a new group.
What if a customer returns an item?
Returns are recorded from that sale’s invoice page by the owner, an admin, or finance, not from the till screen. Cash refunds at the till aren’t available yet, so money handed back isn’t recorded in the drawer count.
Are customers reminded when their credit is due?
Not automatically yet. Credit that’s due shows in receivables ageing, on the customer’s page, and in Agenda, so you contact the customer yourself. A credit sale’s invoice can be emailed to the customer’s billing address.
Can quotations and POs be emailed from Tumra?
Not yet. Quotations, POs, and delivery notes are printed from the browser or saved as PDF, then sent through your own email or WhatsApp. A quotation’s status is changed with the Mark sent button.
Who can use the till?
The owner, admins, finance, and the Cashier role. Cashiers see sale prices, stock at the selling location, and customers, but not buy prices, profit, or the books. Each cashier uses one user account from the plan’s quota. Extra users can be bought; on Retail Starter, up to 3 users in total. Retail Free is for one user, so the owner runs the till. Retail Free is for one user, so the owner runs the till.
Can I bring over my existing customer list?
Yes. The owner or an admin can upload the Excel template in Settings → Import & Migration. Groups and credit limits are then set per customer after the import.
Does the till calculate VAT?
Yes, if your business turns on “Selling prices include tax” in Settings → Tax. VAT is separated from the total and printed on the receipt as Includes VAT. Prices that exclude VAT aren’t supported at the till yet: VAT isn’t added on top of the price.
Who on the team can use it?
The owner, admins, and finance, because deliveries and receipts move stock, receivables, and payables. Project managers can use it if they’re given finance access. The Cashier and Staff roles can’t open it.
Team & access
How many team members are included in a plan?
Agency and Retail include 3 users, Bisnis 4, Retail Pro 6, and Agency Pro and Bisnis Pro 8. The Owner can add seats at IDR 50,000 per user per month in Settings → Plan & Billing. Invitations not yet accepted use a seat. Removed members don’t, so their seat can be used by someone else.
Can the free plans and Freelancer add members?
Free and Retail Free can’t: both are single-user plans and seats can’t be added. Freelancer includes 1 user and can add seats up to 3 users in total. The same limit applies to Retail Starter, which includes 2 users. On Agency, Retail, Bisnis, and the Pro versions, extra seats are unlimited.
Can a Project Manager see invoices and reports?
Not by default. An Owner or Admin can tick “Grant finance access” in one Project Manager’s Manage panel. They can then open invoices, payments, and reports, and also serve at the counter, without being made Finance.
Are the accounts of members who leave deleted?
No. The account is only deactivated: they can’t sign in any more, but their hours, invoices, and history stay recorded under their name. The account can be reactivated as long as there’s a free seat. Work already handed to a successor doesn’t come back by itself.
Is there two-step verification or custom roles?
Not yet. Tumra doesn’t have two-step verification (2FA) yet, and the six roles can’t be changed or added to. What’s already there: passwords of at least 10 characters, Sign in with Google, and a “Sign out of all other devices” button in your Profile.
AI & integrations
How are Tumra Assistant credits counted?
One credit covers roughly 1,000 characters of question and answer, rounded up, so a short question is usually 1 credit. Your plan’s allowance (300 credits a month on Agency, Retail and Bisnis, 1,000 on the Pro versions) resets every month and is used first, while credits you buy on top never expire. Using your own API key, or connecting an AI app over MCP, doesn’t use credits.
What is bring-your-own-key (BYOK)?
You plug in an API key from your own AI provider (Google Gemini, OpenAI, DeepSeek, Groq, OpenRouter or any OpenAI-compatible service) and pick the model in Settings → Tumra Assistant (AI). The provider bills you directly, so no Tumra credits are used, and the key is stored encrypted and never shown again. It’s available from the Freelancer plan up.
Can I use Tumra from Claude or ChatGPT?New
Yes, from the Freelancer plan up, over MCP: the AI app asks for permission, and on the consent screen you decide whether it may also read financial data and create tasks, projects, clients or time logs. Without that it only reads operational data within your own access, and it can never edit, delete or create invoices. The connection doesn’t use credits and can be disconnected any time in Settings → Connected AI Apps.
Can the assistant see data I’m not allowed to see?
No. The assistant reads data with your own role: Staff only see the clients and projects assigned to them, and financial figures are only open to people with finance access. These limits are enforced in Tumra’s code before any data is fetched, not by instructing the model, and the assistant changes nothing unless you confirm its draft.
What happens when an order is completed in the store?
With Orders become sales on, Tumra takes stock out of the fulfilment location and records cost of goods, matches or creates the customer, then issues an invoice with the store’s numbers. If the store reports the order as paid, the payment is recorded to the store’s clearing account. All of it shows under Online orders.
Where is my data sent when I ask a question?
The assistant only reads your workspace, within the limits of your role. Your question and the data it reads are sent to an AI model provider to put the answer together: Tumra’s own provider, or the provider you chose if you use your own API key. Conversations are kept in Tumra for 30 days and can only be opened by you, not by the Owner or Admin.
Are refunds in the store recorded automatically?
No. Tumra flags the order with Refund not recorded and prepares two credit note links: Price reduction only, or Goods returned. Returned goods go back to their location, batch, and the cost they left at. Online order invoices cannot be voided, and an order that changes after it was invoiced is only flagged, not rewritten.
How many credits does a question use?
One credit is roughly 1,000 characters of question and answer, with at least one per question. A short question usually takes one credit. Failed answers aren’t counted. Plan credits renew at the start of every month. Extra credits are bought in Plan & Billing (100, 500, or 2,000 credits) and don’t expire at the end of the month.
Do older orders come in too?
No. Only orders completed after Orders become sales is turned on. Turning it off stops later orders without undoing those already recorded. Only orders in your base currency become sales, and the switch cannot be turned on if the store uses a different currency.
Can the assistant create invoices or change data?
No. The assistant only prepares drafts of tasks, projects, clients, and time logs, and the data is only created after you press Save. Changing, deleting, and creating invoices still happens on Tumra’s own screens. For hours ready to bill, the Bill button opens the invoice form with those hours already ticked.
What if an order can’t be processed?
It goes to the Needs attention tab under Online orders, with the cause in a plain sentence, for example an accounting period that is locked or a store tax rate that differs from Tumra’s. Once the cause is fixed, an owner or admin presses Try again. Stock already taken out is not reversed.
Are stock, prices, and order status synced?
Stock yes, for listings you approve under Stock publishing while Orders become sales is on. Prices no: the selling price is filled in once when a product is created from the store. Tumra also doesn’t change orders in the store, so status and tracking numbers stay in WooCommerce.
Can the assistant answer in English?
Yes. The assistant answers in the interface language you choose, Indonesian or English. Names, numbers, and figures from your data are left as they are. The Help Centre articles it draws on are still in Indonesian.
Which plans can use WooCommerce?
Retail and Bisnis, 1 store each; Retail Pro and Bisnis Pro up to 3 stores. Retail Starter is not included. For now only WooCommerce is available, not Shopee, Tokopedia, or other marketplaces.
Do the skills differ between built-in Tumra, your own API key, and MCP?
The list of skills is the same. What differs: who pays the AI provider, whether answers include cards and buttons (only in the Tumra panel), and the permissions you choose when connecting over MCP.
Why does the assistant say it has “no access” to money questions?
Questions marked finance access are only answered for Owners, Admins, Finance, and Project Managers given finance access. Over MCP, "Read financial data" must also be ticked when connecting. You can change that in My Profile.
Why are some skills missing on my plan?
The assistant only reads features your plan includes. Stock questions, for example, need a shop plan (Retail Starter, Retail, Bisnis), and hours questions need a plan with time tracking (Freelancer, Agency, Bisnis).
Will this list grow?
Yes. This page is updated whenever a new skill is added.
